The short answer
The WhatsApp Business App is a free phone app for one business owner answering chats by hand. The WhatsApp Business Platform (usually called the API, or Cloud API) is the infrastructure software connects to, so a chatbot can reply automatically, several agents can share one number and your other tools can send and receive messages.
If you answer a few dozen chats a day yourself, the app is enough. If messages arrive faster than you can answer, several people need to reply, or you want an AI assistant to handle the repetitive questions, you need the API.
What the free WhatsApp Business App gives you
- A business profile with your address, hours, website and a product showcase.
- Greeting and away messages and quick replies for answers you type often.
- Labels to organize chats (new customer, paid, pending).
- Use on your phone plus up to 4 linked devices, such as WhatsApp Web on a computer.
- Optional paid subscriptions from Meta, such as Meta Verified and the new Meta One bundle, which adds an AI reply agent and broadcasts.
The limits show up as you grow: the app is built for people typing replies, there's no shared inbox with assignment between agents, and you can't plug in your own chatbot, CRM or booking tools.
What the WhatsApp Business API adds
- Automation: a chatbot can answer every message instantly, 24/7, using your prices, hours and FAQs. See our WhatsApp Business API chatbot.
- Many agents, one number: conversations go to a shared inbox and can be assigned to the right person, with human handoff when the bot shouldn't answer.
- Integrations: connect tools such as Calendly to book appointments or Shopify to answer order questions.
- Template messages: pre-approved messages (reminders, confirmations, promotions) you can send outside the 24-hour window described below.
- Scale: Meta raises your sending limits as you show good quality, up to unlimited.
The 24-hour customer service window
On the API, when a customer writes to you, a 24-hour window opens. Inside it you can reply freely — text, images, buttons. Outside it, you can only start the conversation with an approved template. This rule protects users from spam, and it's also how Meta prices the platform: see how much a WhatsApp chatbot costs in 2026.
Messaging limits: how many people you can reach
Replying to customers who write to you has no daily cap. The limit applies to business-initiated messages — templates sent to people outside the 24-hour window. New accounts start at 250 unique contacts per 24 hours. Verifying your business (or sending 2,000 good-quality messages in 30 days) takes you to 2,000, and then Meta raises you through 10,000, 100,000 and unlimited as long as quality stays high and you use at least half of your limit.
Can I use the app and the API on the same number?
Yes, in many cases, thanks to what Meta calls coexistence. You keep using the WhatsApp Business App on your phone while a platform connected to the API answers on the same number, and chats are mirrored between both. It's set up through a Meta partner during onboarding and needs a recent version of the app.
There are trade-offs: some app features (groups, catalog, labels, quick replies, greeting and away messages) don't apply to chats handled through the API, some linked devices are disconnected during setup, and availability depends on your country. Messages you send from the app stay free; messages sent through the API are billed at API rates.
How businesses get access to the API
There are two routes. Developers can connect directly to Meta's Cloud API and build everything themselves. Most small and medium businesses instead use a platform built on the API, which handles the connection, the inbox, the chatbot and the integrations so nobody has to write code. Either way, Meta charges per message for some categories, so read the pricing before you choose.
How to decide
Stay on the app if…
You get a manageable number of chats, one person answers them and you don't need automation.
Move to the API if…
Messages pile up at peak times, customers write outside business hours, or more than one person answers.
Consider coexistence if…
You want automation but still like answering some chats from your phone, and it's available in your country.
Simplifybot runs on the official WhatsApp Business API, so you get the AI assistant, the shared inbox and the integrations without technical setup. Compare plans on our pricing page.

Frequently asked questions
Is the WhatsApp Business API free?
Not entirely. Meta's pricing is per message: some messages are charged and some are free (see our cost guide). Platforms built on the API add their own subscription on top.
Do I lose my chats if I move to the API?
With coexistence, recent chat history can sync and you keep using the app on the same number. Without it, the number moves fully to the API.
Can a chatbot work on the regular WhatsApp Business App?
Not your own chatbot. Custom automation and integrations require the API.
