This policy explains how Simplifybot collects, uses, shares and protects personal information when you visit simplifybot.co, create an account or use our AI assistant for WhatsApp, Facebook Messenger, Instagram and Telegram.

1. Introduction

At Simplifybot, we take your privacy seriously. Simplifybot is an AI assistant that answers a business's customers on WhatsApp (through the official WhatsApp Business API), Facebook Messenger, Instagram and Telegram, books appointments and hands conversations to the business's team. It is built and operated by Ideascol. This Privacy Policy explains how we collect, use, disclose and safeguard your information when you use our services. By using our services, you consent to the practices described in this policy.

2. Our role

  • Your account data (the business that signs up and its team): Simplifybot decides how this data is used and is responsible for it.
  • Your customers' conversations (the messages your assistant receives and sends): your business is responsible for that data, and Simplifybot processes it on your behalf only to provide the service.

3. Information we collect

3.1 Information you provide

  • Name and contact information.
  • Account credentials.
  • Payment information.
  • Information about the channels and tools you connect, such as your WhatsApp Business account, Facebook Page, Instagram professional account, Telegram bot, Calendly or Shopify.
  • The business information you give the assistant: hours, prices, services and frequently asked questions.

3.2 Conversation data

The messages your customers send to your business and the replies sent by the assistant or your agents, along with the contact details the messaging channel provides (such as the customer's name and phone number, or their Facebook/Instagram name, username and profile picture).

3.3 Usage data

  • Chatbot interaction data.
  • Performance metrics.
  • Device and browser information.
  • IP address and approximate location data.

4. How we use your information

  • Providing and improving our services.
  • Training and enhancing our AI models, except data received from Meta platforms (Facebook Pages, Messenger and Instagram), which is never used to train or improve AI models or for advertising (see section 6).
  • Processing payments and transactions.
  • Sending important updates and notifications.
  • Analyzing usage patterns and trends.
  • Ensuring platform security.

5. AI and data processing

  • Processing chat messages to generate responses, including through the AI model providers we use.
  • Analyzing conversation patterns to improve AI models, except data received from Meta platforms (Facebook Pages, Messenger and Instagram), which is never used to train or improve AI models or for advertising (see section 6).
  • Storing conversation history for service improvement.
  • Using anonymized data for AI training, except data received from Meta platforms (Facebook Pages, Messenger and Instagram), which is never used to train or improve AI models or for advertising (see section 6).

6. Facebook Pages, Messenger and Instagram data

If you connect a Facebook Page or an Instagram professional account to Simplifybot, you do it with Facebook Login for Business. You choose which business, Pages and Instagram accounts to share and which permissions to grant. Simplifybot only accesses the assets you select.

6.1 What we receive

  • About your business: your Facebook user ID and name, the list of Pages you manage, and the ID, name and profile picture of the Page and Instagram account you connect. We also receive the access tokens Meta issues so we can act for those assets.
  • About people who contact your business: their Page-scoped or Instagram-scoped ID, name, Instagram username and profile picture. We also receive the content of the messages they send to your Page on Messenger or to your Instagram account in Direct (text, images, files, buttons they tap), and the replies sent by your assistant or agents.
  • Comments: comments people leave on your Instagram posts, with the commenter's username and the post they belong to, so your team can reply to them or hide them.

6.2 How we use it

We use this data only to provide the service you asked for:

  • To show the Pages and accounts you can connect and confirm that you manage them.
  • To receive messages and comments in the Simplifybot inbox.
  • To let your assistant and your agents reply, including human-agent replies within the period Meta allows.
  • To show your team who they are talking to.

We follow Meta's Platform Terms and Developer Policies. We do not use Messenger or Instagram data to train AI models, and we do not use it for advertising. We process message content with our AI model providers only to generate the assistant's replies for your business.

6.3 No sale or unauthorized sharing

We do not sell Facebook or Instagram data. We do not share it with data brokers or advertisers. We only share it with the service providers that help us run Simplifybot (hosting and AI model providers), under confidentiality obligations, and only to provide the service. We may also share it when the law requires.

6.4 Retention

  • Access tokens and webhook subscriptions are kept while the channel is connected. We delete them as soon as you disconnect it or remove Simplifybot from your Facebook settings.
  • Conversations, contact profiles and comments are kept while your account is active, so your team can see the conversation history. We delete them within 30 days after you disconnect the channel and ask for deletion, close your account, or send a deletion request.
  • Backups are overwritten within 30 additional days.

6.5 How to disconnect and request deletion

  • Disconnect: in Simplifybot go to Settings → Integrations → Disconnect. You can also remove Simplifybot in Facebook (Settings & privacy → Settings → Business integrations) or in Instagram (Settings → Website permissions / Apps and websites).
  • Request deletion: visit https://app.simplifybot.co/nuke or email support@simplifybot.co with the subject "Data deletion". If you remove Simplifybot from Facebook, Meta notifies us and we delete the related data automatically. You'll receive a confirmation code to check the status of your request.
  • If you messaged a business that uses Simplifybot, you can also contact that business directly, because it is responsible for your conversation data (see section 2).

7. Data sharing and disclosure

  • Service providers and business partners that help us run the service (for example hosting, payments and AI model providers).
  • The messaging platforms and tools you connect — such as Meta (WhatsApp, Messenger and Instagram), Telegram, Calendly or Shopify — as required for the integration.
  • Law enforcement when required by law.
  • Other users, only with your explicit consent.

Some of these providers may store or process data outside your country. When that happens we take steps so your information keeps an adequate level of protection.

8. Data security

  • Encryption of data in transit and at rest.
  • Regular security assessments.
  • Access controls and authentication.
  • Secure data storage practices.

9. Your rights and choices

  • Access your personal information.
  • Correct inaccurate data.
  • Request deletion of your data.
  • Opt out of marketing communications.
  • Export your data.

To exercise these rights, email support@simplifybot.co. If you are a customer of a business that uses Simplifybot, you can also contact that business directly, since it is responsible for your conversation data.

10. Users in Colombia (Law 1581 of 2012)

If you are in Colombia, the personal data protection regime of Law 1581 of 2012 and its regulations applies (habeas data). You may know, update and correct your data, request proof of your authorization, be informed about how your data is used, revoke your authorization or request deletion when appropriate, and file complaints with the Superintendence of Industry and Commerce (SIC). Inquiries are answered within 10 business days and claims within 15 business days, as set out in the law. Full details are in the Spanish version of this policy.
